Freelo shows you the status of each property, deadlines, and who is responsible for what. Viewings, offers, contracts… Nothing will slip through the cracks.
Two showings, three prospective buyers, and in the meantime, a fourth phone call from the owner. In Freelo, every property has its own project with tasks, deadlines, and documents. You invite the owner as a guest, and they can check the status of the sale themselves.
Mortgage pre-approval, reservation fee, escrow. In Freelo, you enter each step as a task with a due date and the name of the person responsible. Freelo then sends a timely reminder to whoever is next in line.
A single deal involves a real estate agent, an assistant, a mortgage advisor, and a lawyer. When tasks are assigned over the phone, things can get lost in the shuffle. At Freelo, everyone knows exactly who is responsible for what.
This is how RE/MAX keeps track of things across the entire team: everyone can see who is working on which assignments, without the need for meetings or follow-up questions.
Read what RE/MAX has to say about FreeloThe dashboard shows you the work in progress across all the listings the office is currently handling. When a client asks how the sale of their apartment is going, you don’t have to call around to colleagues or search through your email. Just open the overview to see what stage the listing is in and what’s being worked on. You can also edit or reschedule tasks right there in the overview.

Switch your project to Kanban and track the current stage of each property. You can name the columns, for example, New Listing → Marketing → Viewings → Offer Submitted → Reservation → Financing → Signing → Closing. You can review the status of all orders (tasks) in a matter of moments, and no one has to call to check on the progress.

Each property has its own deadlines that you need to keep track of. You can set a due date for each task, so you’ll see what’s coming up in your calendar. And in addition to the date , you can also set up a reminder. You no longer have to write it down on a piece of paper or keep it in your head.

Invite your guests (the buyer, a lawyer, another real estate agent, or the property owner) and give them access only to the information that pertains to them. They won’t see the rest of the tasks in your Freelo. And since every sale and rental follows almost the same process, you can save them as a template. Next time, just click, and within a few seconds, all the subtasks will be created.

It depends on how many properties you manage and what tasks you handle for them. Neither approach is wrong; they’re just better suited to different types of firms.

| How to Approach This in Freelo | Treat each property as a single task. Set up all the steps as subtasks and turn the sales phases into to-do lists, which will then appear as columns in the Kanban board. | Each property has its own project, broken down into to-do lists by category (Advertising, Legal Matters, Showings…), each with its own team and budget. |
| How to Track Progress | You drag the cards between columns depending on how the trade is going. | You check off the steps in each area and keep track of their deadlines. |

No matter how you organize your real estate listings in Freelo, you don’t have to worry about duplicates. Thanks to the”tasks across multiple projects” feature, the same property appears on both the agent’s dashboard and the office-wide overview. It’s not a duplicate, so any changes made in one place are automatically reflected in the other.

Freelo real estate software isn't a replacement, because it doesn't maintain a property database or post listings on portals. Instead, it addresses the aspect that real estate systems struggle with the most: who is responsible for what and by when. For each listing, you can see who’s on it and how the team is progressing. That’s why most real estate agencies use Freelo alongside their real estate system.
It'll take a few minutes. Create a project for the property, break the work down into to-do lists and tasks, add deadlines, and invite your colleagues. Feel free to use a template that will automatically populate the project details.
It’s easy to use. We’re building Freelo for regular teams, not for project managers. Assigning a task, setting a deadline, and naming it takes just a few clicks. The entire interface and help section are in Czech, and if anyone needs help, they can contact our Czech support team.
Yes, and it’s free. Clients only have access to the project that concerns them. They can’t see the rest of the agency’s portfolio. Communication with them then takes place directly within the task, not via email or WhatsApp.
Yes, that’s exactly what it’s designed for. Each assignment is either a separate project or a task, depending on how many properties you manage. In the Dashboard, you can see the work in progress across all assignments. This allows you to keep track of deadlines and agent workload across your entire portfolio.
Both, as needed. Each broker has an overview of their own orders, and the office manager also has access to a dashboard showing the entire team’s status. That way, no one is left in the dark about who has what work in progress.
You’ll get started right away on your own, but expect a longer ramp-up period when rolling it out to the entire team—until everyone gets used to entering everything into Freelo. Guided onboarding, customized training, and Czech-language support will help you introduce Freelo to your team.
Yes, although for real estate agencies, this is usually the second priority. You can use a stopwatch to track the time spent on a listing and set a budget for marketing or home staging for each project. You’ll enter the commission for the listing in a custom field— Freelo doesn’t calculate it based on the sale price.
