Invite clients, suppliers, or external collaborators as Guests so they can see tasks relevant to them, comment on them, and create new ones. Timesheets, estimates, and internal To-Do lists will remain yours only.
The brief arrives by email, a change by phone, an attachment via cloud storage, and no one knows what's valid. Invite the client directly to the project as a Guest, where the discussion is recorded right under the task.
Internal notes, estimates, and logged hours are not something a client should see. A guest can only see the Tasks, Calendar, Discussions, and Activities pages. They won't have access to timetracking reports or estimates.
“Guests are set up so they cannot do any harm in the project. They cannot complete tasks, cannot see reports or estimates, and yet they are fully involved in the work.”
Accountant, graphic designer, supplier, temp worker… The collaboration lasts a few weeks and then ends. You add a guest and then remove them again without having to buy a license for it.
The client wants to know the status of the project, but you don't want to call a meeting just for that. As a Guest, they can track progress directly in the tasks and provide feedback on deliverables right where they were created.
You work for multiple clients at the same time and each should only see their own work. A guest can access a maximum of two projects, so your jobs won't clash.
A Guest is a free account for an external user, typically a client or contractor, and does not count towards paid licenses. So you don't pay anything extra for an external collaborator – you can have up to 100 in the Business plan and up to 200 in the Premium plan. The role is intended only for outsiders: the guest's email must be outside your verified company domain.
Try Freelo for freeIn the Users section, you can set which To-Do lists in the project each person can see. You can grant a client access to a list with their deliverables, but keep internal preparations hidden. And the same applies to other guests. Keep in mind, however: if you don't check any To-Do list in the project, the user will automatically see all of them.
Try Freelo for freeA guest in a project creates tasks, subtasks, and checklist items, assigns solvers, sets deadlines, changes priority, and attaches files, voice messages, and screen recordings. At the same time, however, they cannot access reports, estimates, custom fields, or the user list and cannot mark a task as completed. They only see the Tasks, Calendar, Discussions, and Activity pages – Freelo offers them nothing more.
Try Freelo for freeA public link is used for a quick preview without creating an account. You can find the Share via public link option for both a task and a To-Do list. For a task, the recipient can view the entire discussion, including the due date, assignee, and priority; for a To-Do list, they can view tasks, subtasks, and checklists. You have all links gathered in the Reports section and can cancel them at any time.

Sharing a project with an external user means that you let someone outside your own company (a client, contractor, or freelancer) into the work tool and give them access only to the part of the work that concerns them. For example, in Freelo they typically see tasks and discussions, but not internal documents, costs, and time spent.
A Guest Account (the Guest role in Freelo) is a free user account with limited permissions, designed for external collaborators. It does not take up a paid license, and its holder can only access projects to which they are explicitly invited. In Freelo, this is a maximum of two projects per guest.
A Guest is for long-term collaboration on one or two projects and costs nothing. An Invited user with a license is suitable when an external contractor needs to work fully—track time or complete tasks. Use a Public link for a one-time showcase of a task or an overview to someone who doesn't have Freelo at all.
A Guest is a free account for an external user – a client or a supplier. They can get involved in working on tasks, but do not have access to time tracking/reports, estimates, or the user list. Find details in the help article on Guests.
The Business plan includes 100 free guests, while Premium includes 200. The Guest role is not available in the Free and Lite plans. Each guest can work in a maximum of two projects. If you need more guests, the number can be increased in packages – request this at info@freelo.io. You can find an overview of the plans in the pricing.

No. The Guest role is intended exclusively for external collaborators and clients, and the guest's email must not be from your verified company domain. For colleagues within the company, use a standard invitation to the project.
The Captain or Company Captain deletes a guest in the Business panel under User management in the Guests section. A regular invited user can be removed directly in the project. A guest cannot leave the project on their own.
